Travel Information

Whether renting a vehicle or flying to Ascend, you are responsible for booking your own travel through Navan, our travel management system, and submitting for reimbursement via Concur by the final deadline. For additional support registering for and using Navan, check out the training video below.

The local airports are Palm Springs International Airport (PSP) and Ontario International Airport (ONT) in Southern California. All team members must review the Motus Travel Guidelines before booking.  Managers must approve all travel before your plans can be finalized. People Ops will be working with Managers and Team Leads across the organization to assist with questions as they arise.   

All travel must be approved on or before Monday, November 25, at 8pm ET. This will allow People Ops and CNS Consulting (our planning partner) the time necessary to meet time-sensitive deadlines established by the resort.

TRAVEL BOOKING INSTRUCTIONS

Before booking your travel or submitting an approved business expense associated with your participation in Ascend 2025, please follow the below instructions if you have not already set up Concur Expense Pay or your Navan travel profile.

Concur Expense Pay

Set up your direct deposit in your Concur profile - instructions in the "Concur Expense Pay Guide" located here. If you're submitting an expense report for ASCEND 2025 the deadline to submit all expenses is Tuesday, February 11 for reimbursement by the end of the month.  

Navan Travel Profile 

Review the training video above. 

Navan is the required platform for booking flights, hotels and rental cars. Please reference the Company Handbook for a complete breakdown of Motus’ travel and expense policies. The Navan platform is SSO enabled and can be accessed from this link: Navan SSO Link. Once on the Navan login page, enter your Motus email address. Follow the prompts in Navan to complete your travel profile setup and download the Navan app for easy booking!

Please note, all team members are responsible for reviewing travel and business expense reimbursement guidelines before booking travel or submitting expenses as part of Ascend 2025. Travel and reimbursements that do not follow Motus policies will be denied by either Manager or upon review by People Ops, and team members will not be refunded for their purchases.  

All meals and snacks during Ascend will be provided at the expense of Motus. While on site for the event, any additional purchases of food, coffee, snacks, drinks, or other items will NOT be reimbursed and are at the expense of the individual.  

Initial Schedule of Events  

Motus Ascend starts at 6:30 pm PST on Monday, January 27. A hospitality suite will be available starting at 12:00 pm with room check-in available midday throughout the evening. All inbound flights should arrive by 6 pm PST to ensure your arrival on the property in time to check-in and kick off the event with your Motus teammates at our Welcome Reception. Those who arrive in Palm Springs early on January 27 can enjoy the property and other opportunities available to the Motus team.  

The Executive and Senior Leadership Teams will be meeting midday Monday as part of the Ascend event week. All ELT/SLT members will need to be on site at the hotel by noon PST on Monday, January 27, and will be engaged in planning meetings for lunch through 4pm PST. If travel necessitates that ELT/SLT members travel Sunday to ensure arrival on time at noon on Monday, January 27, this travel is approved and should be noted on the registration form linked below.  

Additionally, the Go-To-Market team will be engaged in meetings through 11am Thursday, January 30, and should plan travel accordingly. A select group of Go-To-Market leaders and managers will be asked to stay into Thursday afternoon for an additional training session. For those GTM leaders and managers who need to stay into Friday to accommodate their travel home, please ensure that your registration form notes that for travel. All additional room nights will be reviewed by the People Ops team to ensure travelers have been approved to extend their stay based on scheduling needs.  

Unless noted above, travelers should be on property Monday and departing Thursday. Ascend will conclude by 11am PST, Thursday, January 30. Those who are traveling by plane are required to book as soon as possible to ensure the best available pricing on all tickets. Travelers are directed to the lowest available fares and may upgrade at their own expense. No extended stays will be approved into Friday, unless the expense is covered by the individual. Travelers are expected to meet these scheduling guidelines to the best of their abilities and select itineraries, including those with connections, that meet the Motus Travel Policy Guidelines.  

All hotel rooms at La Quinta Resort & Club will be booked through CNS Consulting Group through the registration process linked below. CNS will be collecting all travel itineraries to plan out arrival times and group transport from/to the airport. Additional details will be shared in advance of your travels.
